The Monthly Workbook Data settings are used by congregations that submit workbook schedule information each month. These options are primarily intended for Monthly Data Volunteers.

How to Access

You can access this feature in two ways:

  • Options → Settings
  • Toolbar → Settings

After opening the Settings window, select the Monthly Workbook Data tab.

Using the Monthly Workbook Data Settings

This tab contains options for managing how workbook schedule information is exported and submitted each month. It also includes settings for automatic email submission and the location where ZIP files are stored.

Automatically Send Monthly Workbook Data by Email

Enable this option if you would like Meeting Schedule Assistant to automatically send your updated workbook data by email each month.

You can still send the data manually if you prefer, but the automated method is more reliable and ensures your information is submitted on time.

💡 Note: Before enabling this feature, make sure you have already configured the Email settings correctly.

Location for Created ZIP Files

Use the Browse button to choose the folder where Meeting Schedule Assistant should store the ZIP files it creates.

These ZIP files contain the exported workbook data that is sent by email.

For safety and convenience, it is recommended to choose a cloud‑based folder such as OneDrive or Dropbox. This ensures you always have a remote copy of your submitted files.

ZIP File Naming Format

Each exported file uses a structured filename to help with archiving:

MWBData_XXX_YYYY_MM_DD_YYYY_MM_DD.ZIP

Component

Meaning

XXX

Language code

YYYY_MM_DD

First Monday on the schedule

YYYY_MM_DD

Last Monday on the schedule

This naming format makes it easy to identify the language and date range covered by each submission.
